Our Commitment:The Whistl is committed to protecting the privacy of children under 13 years of age. This Children's Privacy Policy explains our practices regarding the collection, use, and disclosure of information from children under 13, in compliance with the Children's Online Privacy Protection Act ("COPPA").

1. Overview

The Whistl is a youth sports team and league management platform. Our platform serves athletic directors, commissioners, coaches, parents, guardians, and fans. Because our platform facilitates the management of youth sports programs, we recognize that information about children under 13 may be processed through our Service.

The Whistl does not allow children under 13 to create accounts or directly provide personal information to us. All information about children under 13 is provided by and managed through their parent or guardian's account, or by authorized league administrators (athletic directors, commissioners, coaches) who have been designated by the child's parent or guardian's organization.

2. What Information We Collect About Children

Information about children under 13 is collected only through parent/guardian accounts or authorized league administrator accounts. This information may include:

  • Registration Information:Child's name, date of birth, grade level, school or organization affiliation
  • Athletic Information: Uniform size, jersey number preference, skill evaluation data (as provided by coaches), position preferences
  • Eligibility Information: Information required to determine eligibility for participation (e.g., school enrollment, parish membership)
  • Health-Related Acknowledgements:Only if required by the organization (e.g., concussion acknowledgement forms, Lindsay's Law acknowledgements) — completed and submitted by the parent/guardian
  • Team Assignment Information: Team name, roster position, schedule
  • Game Statistics: Scores, play-by-play data entered by coaches during games

We do NOT collect the following from children under 13:

  • Email addresses of children
  • Phone numbers of children
  • Social media accounts
  • Geolocation data from children
  • Photos or videos directly from children
  • Any information directly from a child (all information comes through parent/guardian or authorized administrator accounts)

3. How We Collect Children's Information

Children's information is collected exclusively through:

  1. Parent/Guardian Registration:When a parent or guardian registers their child for a league or program through the Service, they provide the child's information as part of the registration process.
  2. Authorized League Administrators: Athletic directors, commissioners, and coaches who have been authorized by the organization may enter or manage information about athletes as part of their administrative duties (e.g., skill evaluations, team assignments, game statistics).

In all cases, the parent or guardian has consented to the collection of their child's information by registering through the platform and accepting our Terms of Service.

4. How We Use Children's Information

We use children's information solely for the following purposes:

  • Registration Processing: To enroll the child in the appropriate league or program
  • Team Building: To assign the child to a team using our team building algorithms (considering grade, skill level, and other factors set by the organization)
  • Scheduling: To include the child in team practice and game schedules
  • Roster Management:To display the child's name on team rosters accessible to coaches and team parents
  • Game Statistics:To track and display game scores and statistics as part of the league's operation
  • Uniform Management: To assign jersey numbers and track uniform sizes
  • Communication:To enable coaches and league administrators to communicate with parents/guardians about their child's team (communications are sent to parent/guardian contact information, never directly to children)

We do NOT use children's information for:

  • Marketing or advertising purposes
  • Behavioral tracking or profiling
  • Sale to third parties
  • Any purpose unrelated to the youth sports program

5. When We Share Children's Information

Children's information may be shared only in the following limited circumstances:

  • Within the Organization: With authorized league administrators (athletic directors, commissioners, coaches) who need the information to manage teams and programs
  • Team Rosters:A child's name may appear on team rosters visible to coaches and parents within the same team
  • Public League Websites: Limited information may appear on public league websites (e.g., team rosters with first name and last initial, game scores, standings). No contact information, date of birth, or detailed personal information is displayed publicly.
  • Service Providers: With our hosting and infrastructure providers who process data on our behalf under strict contractual obligations
  • Legal Requirements: If required by law, court order, or to protect the safety of a child

We never sell children's personal information. We never share children's information with advertisers or for marketing purposes.

6. Parental Rights

Parents and guardians have the following rights regarding their child's information:

  • Access: You may review the personal information we have collected about your child by logging into your parent/guardian account or by contacting us at support@thewhistl.com
  • Correction: You may request correction of any inaccurate information about your child through your account or by contacting us
  • Deletion:You may request that we delete your child's personal information by contacting us at support@thewhistl.com. We will process deletion requests promptly, subject to any legal obligations to retain certain records.
  • Refuse Further Collection:You may refuse to permit any further collection or use of your child's information by contacting us. Please note that this may result in your child being unable to participate in the program through our platform.
  • Withdraw Consent:You may withdraw your consent to our collection and use of your child's information at any time by contacting us

We will not require a child to disclose more information than is reasonably necessary to participate in the youth sports program.

7. Data Security for Children's Information

We take the security of children's information seriously and implement the following measures:

  • Encryption of all data in transit and at rest
  • Role-based access controls ensuring only authorized personnel can access children's data
  • Regular security audits and assessments
  • Secure authentication for all accounts
  • Strict data handling procedures for employees and contractors

8. Data Retention

We retain children's information only for as long as necessary to fulfill the purposes described in this policy. Typically, this means:

  • Active season data is retained while the child is actively registered in a program
  • Historical data (e.g., past season rosters, game statistics) may be retained to provide historical league records, unless deletion is requested by the parent/guardian
  • Upon request for deletion, we will remove the child's personal information within 30 days, except where retention is required by law
